Job description

We are seeking a highly organized, proactive Executive Assistant to provide high-level administrative and operational support to leadership. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities, and takes initiative to keep both business and personal tasks running smoothly.

Key Responsibilities:

Executive & Administrative Support

  • Manage and triage executive inboxes, ensuring timely responses and proper prioritization

  • Coordinate calendars, schedule meetings, and organize appointments

  • Handle a mix of business and personal tasks for the executive

  • Track reminders, follow-ups, and action items to ensure nothing is missed

Administrative Coordination

  • Maintain and update the company’s Good Client List and related records

  • Organize documentation and maintain structured filing systems

  • Assist with license renewals and administrative upkeep across platforms

  • Support team members with administrative needs and system access (e.g., Zoom, Viventium)

Project & Operational Support

  • Support company initiatives and executive-led projects from start to completion

  • Create trackers, workbooks, and organizational tools to improve workflows

  • Act as a central point of coordination to keep projects on track and deadlines met

Reporting & Data Management

  • Pull and distribute weekly operational reports (Tuesday–Friday)

  • Maintain accurate records to support reporting and executive decision-making

  • Develop training materials and internal resources for team use

Requirements:

  • Proven experience as an Executive Assistant or in a similar administrative role

  • Strong organizational and multitasking skills

  • Excellent written and verbal communication

  • High level of discretion and professionalism

  • Ability to anticipate needs and problem-solve proactively

  • Comfortable using tools such as Google Workspace, Excel, and communication platforms
