Role brief
Our client, a New York-based home care provider, is seeking a highly organized and detail-oriented Home Care Operations Coordinator to support service coordination and administrative operations. This role is ideal for someone who thrives in a fast-paced environment, takes ownership of their work, and ensures every task is completed accurately and on time. The successful candidate will play a key role in maintaining compliance, coordinating documentation, supporting payroll and billing processes, and communicating effectively with both internal teams and clients in English and Spanish.
Key Responsibilities
Manage and submit service coordination documentation, ensuring all paperwork is accurate, complete, and compliant with regulatory requirements.
Review large volumes of documentation (50–60 pages) to identify and correct errors before submission.
Maintain organized electronic files using Microsoft Word, Excel, and Dropbox.
Track document deadlines, authorizations, and outstanding items, following up proactively to ensure timely completion.
Communicate confidently and professionally with internal teams, caregivers, and external contacts in both English and Spanish.
Manage incoming phone calls and voicemails on the office's main line.
Link caregiver clock-in and clock-out punches in the Call Dashboard on a daily basis.
Review and resolve pre-billing issues, including Plan of Care (POC) compliance, shift overlaps, unbalanced visits, and incomplete visits to prevent payroll and billing delays.
Mark incomplete visits with timesheet requirements and provide feedback on missing or incorrect documentation.
Verify NHTD and TBI schedules weekly to ensure scheduled hours match recorded punches, resolving discrepancies before payroll deadlines.
Upload and process timesheets received via fax and email, ensuring accuracy and completeness.
Review monthly schedules for expired authorizations and notify the appropriate service coordinators to ensure timely updates.
Maintain compliance with company policies and regulatory standards while supporting smooth day-to-day administrative operations.
Requirements
Bilingual fluency in English and Spanish (spoken and written) is required.
Previous experience in administration, service coordination, healthcare administration, or compliance.
Exceptional attention to detail with the ability to identify and correct errors before submission.
Strong organizational and time management skills with the ability to prioritize multiple tasks and meet strict deadlines.
Confident communicator who is persistent, proactive, and comfortable following up to obtain required information.
Proficiency in Microsoft Word, basic Microsoft Excel, Dropbox, and general computer systems.
Ability to manage documentation with a high level of accuracy and confidentiality.
Excellent verbal and written English communication skills.
Experience working in a home care, healthcare, or medical office environment is preferred.
Familiarity with EVV systems, payroll support, billing processes, NHTD/TBI programs, or Plan of Care (POC) compliance is highly preferred.
