We are seeking a proactive and organized Maintenance Coordinator to manage maintenance operations for a portfolio of New York apartment buildings. In this role, you will serve as the primary point of contact for maintenance requests, coordinating with tenants and the maintenance team to ensure issues are assessed, prioritized, and resolved efficiently. The ideal candidate is adaptable, empathetic, confident, highly responsive, and able to thrive in a fast-paced, high-volume environment.
Key Responsibilities
Manage the end-to-end maintenance process for residential apartment buildings.
Assess incoming maintenance requests and determine whether they require further evaluation or can be scheduled immediately.
Coordinate and communicate with the maintenance team to ensure timely completion of work orders.
Answer tenant calls and emails, providing professional, empathetic, and responsive customer service.
Follow up with tenants and vendors to ensure maintenance requests are resolved satisfactorily.
Prioritize maintenance requests based on urgency and impact.
Remain flexible and responsive when handling emergency maintenance situations.
Manage multiple requests and priorities simultaneously while maintaining accuracy and organization.
Work professionally and effectively with tenants and other individuals, including challenging or difficult situations.
Maintain accurate records of maintenance requests, updates, and completed work.
Ensure clear communication between tenants, maintenance staff, vendors, and internal stakeholders.
Requirements
Previous experience in maintenance coordination, property management, or customer service.
Experience managing maintenance requests for residential properties is highly preferred.
Excellent verbal and written English communication skills.
Spanish-speaking is strongly preferred.
Strong ability to assess, prioritize, and coordinate multiple maintenance requests simultaneously.
Super responsive, organized, and able to multitask in a fast-paced environment.
Confident decision-maker with strong problem-solving skills and the ability to think quickly and find solutions.
Adaptable and comfortable working with different personalities, including difficult tenants or situations.
Empathetic, patient, and customer-focused approach when dealing with tenants.
Flexible and available to respond to emergency maintenance situations when needed.
Ability to take ownership of the maintenance process from start to finish.
Proficient with computer systems and able to quickly learn property management software.
